The Rental Car Sitting on Your Lot Might Be a Key Problem, Not a Demand Problem

A look at why rental fleet utilization often has less to do with customer demand than with how quickly staff can locate a key — and what a digital key management system changes about that math.

When "Rentable" Doesn't Mean "Rented"

Every car on your lot is already costing you money — financed, insured, and depreciating whether it moves or not. The only way it earns that money back is by getting rented. But demand isn't the only thing that can stand between a ready car and a booking. Sometimes, it's simpler than that: the customer is ready, the car is ready, and nobody can find the right key fast enough to close the deal.

The difference can add up quickly. In its Q2 2026 earnings release, Hertz reported total vehicle utilization of 79%, and Avis Budget Group's Q1 2026 earnings release put its own vehicle utilization at 70% — itself a company record for that quarter in over fifteen years. Even at two of the largest, most data-driven fleets in the country, a car still sits idle two to three days out of every ten — earning nothing, while it keeps costing money to own, insure, and maintain. A smaller fleet without that same visibility probably has more room to close — on a 20-car lot, even part of that gap is thousands of extra dollars a month from cars you're already paying for.

Talk to enough rental managers, and you'll hear the same excuses for a car that didn't turn over: demand, seasonality, maintenance schedules. The real culprit is usually simpler than that: habit standing in for an actual key tracking system.

A few scenarios that can play out at a rental location:

  • A returned key gets set aside during a shift change and isn't seen again for hours.
